ScopeBill uses your WordPress website to send emails such as quotations and invoices. Before issuing your first document, make sure WordPress email delivery is properly configured.
Relying only on the default WordPress mail configuration may result in emails being rejected, delayed or delivered to spam. A properly configured SMTP or transactional email service helps improve the reliability of outgoing email.
Use a WordPress SMTP plugin to connect your website to your preferred email service. ScopeBill does not require a specific SMTP plugin or provider.
Make sure the sender details represent your business correctly. Ideally, use an email address associated with your own business domain.
Before sending your first ScopeBill document:
ScopeBill sends document emails through your WordPress website. Successful delivery depends on your WordPress mail configuration and email provider.
Before creating your first quotation, configure your business information.
Add details such as:
ScopeBill uses this information when generating your quotations and invoices.
No problem. ScopeBill can display your business name when a company logo isn't available.
Configure how ScopeBill should number your quotations and invoices.
Choose a numbering structure that works for your business. If you're moving from an existing system, consider continuing your current numbering sequence.
Add the payment information you want customers to see on your invoices.
ScopeBill helps you record and track payments. Recording a payment in ScopeBill does not independently verify the transaction with your bank.
Confirm received payments against your actual banking or payment records before marking your internal records complete.
Add your client's information, such as:
Save the client when you're finished. The client will then be available when creating quotations and invoices.
You can manage up to 5 active clients at the same time. Clients you're no longer actively working with can be archived where applicable. Paid plans provide unlimited active clients.
If you regularly quote the same products or services, save them in your Item Library.
Save commonly used names, descriptions and pricing so they're ready for future quotations. You can still modify the details after adding an item to a quotation.
Select your client and start adding quotation items.
ScopeBill calculates your quotation totals while you work.
Create, save and edit freely.
Does not countThe document has been officially issued.
Counts towards Free limitEvery ScopeBill plan includes Unlimited Drafts. Take your time to prepare, review and edit documents before issuing them.
Before issuing, check:
Use the document preview to check how the quotation will appear to your client.
When everything looks correct, select Issue Quotation.
ScopeBill Free includes 5 Issued Quotations. Draft quotations do not count. Paid plans include Unlimited Issued Quotations.
Once issued, your quotation is ready for your client.
Send or share the quotation using the available ScopeBill workflow. Your client can review it without needing access to your WordPress dashboard.
Where the approval workflow is available, your client can Approve or Reject the quotation.
ScopeBill keeps the quotation and its status together so you can easily track what happens after it is sent.
Check your WordPress email configuration and confirm that SMTP or your transactional email service is working correctly. See Step 03 — Configure Email Delivery.
Clients sometimes request changes before accepting a quotation.
Instead of creating disconnected documents, use ScopeBill's quotation workflow to update the quotation as required.
This helps maintain a clearer history of what was proposed while keeping the quotation process organised.
When a quotation is ready to move forward, you don't need to enter the same information again.
Open the relevant quotation and select:
ScopeBill carries the relevant quotation information into the new invoice.
Review and edit it freely. Creating the invoice draft does not use your issued invoice allowance.
Before issuing the invoice, review:
When everything is correct, select Issue Invoice.
Continue editing until the invoice is ready.
UnlimitedOfficially issued to your client.
Counts towards Free limitWhen you receive payment, open the relevant invoice and select:
Enter the payment information. ScopeBill keeps the payment associated with the invoice and updates the remaining balance.
If your customer makes multiple payments, record each payment as it is received where supported.
As you use ScopeBill, your workspace will gradually contain more clients, quotations, invoices and payment records.
Use ScopeBill's search, sorting, status and archive tools to keep everything organised.
Records that are no longer actively needed can be archived where applicable instead of permanently deleting them.
If an archived client returns, reactivate the client and continue using their existing information.
ScopeBill Free is not a trial. There's no expiry date and you don't need a licence to use it.
