03
EMAIL DELIVERY

Configure email delivery

ScopeBill uses your WordPress website to send emails such as quotations and invoices. Before issuing your first document, make sure WordPress email delivery is properly configured.

We recommend SMTP or a transactional email service

Relying only on the default WordPress mail configuration may result in emails being rejected, delayed or delivered to spam. A properly configured SMTP or transactional email service helps improve the reliability of outgoing email.

Choose an email provider

Use a WordPress SMTP plugin to connect your website to your preferred email service. ScopeBill does not require a specific SMTP plugin or provider.

  • Your hosting email SMTP
  • Google Workspace / Gmail
  • Microsoft 365 / Outlook
  • Brevo
  • Mailgun
  • Amazon SES
  • Another SMTP or transactional email provider

Configure your sender

Make sure the sender details represent your business correctly. Ideally, use an email address associated with your own business domain.

From Name Your Business Name
From Email billing@yourdomain.com

Send a test email

Before sending your first ScopeBill document:

  1. Complete your SMTP or transactional email configuration.
  2. Send a test email using your SMTP plugin.
  3. Confirm that the email arrives successfully.
  4. Check the spam or junk folder if necessary.
  5. Verify that the From Name and From Email are correct.
ScopeBill does not provide an email server

ScopeBill sends document emails through your WordPress website. Successful delivery depends on your WordPress mail configuration and email provider.

04
BUSINESS DETAILS

Set up your business profile

Before creating your first quotation, configure your business information.

ScopeBill → Settings

Add details such as:

  • Business / Company Name
  • Registration information, where applicable
  • Business address
  • Email address
  • Phone number
  • Company logo

ScopeBill uses this information when generating your quotations and invoices.

Don't have a logo?

No problem. ScopeBill can display your business name when a company logo isn't available.

05
DOCUMENTS

Configure your document settings

Configure how ScopeBill should number your quotations and invoices.

ScopeBill → Settings → Document Settings
Quotation QT-0001
Invoice INV-0001

Choose a numbering structure that works for your business. If you're moving from an existing system, consider continuing your current numbering sequence.

06
PAYMENTS

Add your payment details

Add the payment information you want customers to see on your invoices.

  • Bank name
  • Account name
  • Account number
  • Payment instructions

ScopeBill helps you record and track payments. Recording a payment in ScopeBill does not independently verify the transaction with your bank.

Always verify payments

Confirm received payments against your actual banking or payment records before marking your internal records complete.

07
CLIENTS

Add your first client

ScopeBill → Clients → Add New

Add your client's information, such as:

  • Client or contact name
  • Company name
  • Email address
  • Phone number
  • Billing address

Save the client when you're finished. The client will then be available when creating quotations and invoices.

ScopeBill Free — 5 Active Clients

You can manage up to 5 active clients at the same time. Clients you're no longer actively working with can be archived where applicable. Paid plans provide unlimited active clients.

08
REUSABLE ITEMS

Build your Item Library

If you regularly quote the same products or services, save them in your Item Library.

ScopeBill → Item Library
Corporate Website Website design and development
Website Maintenance Monthly WordPress maintenance
Web Hosting Annual website hosting

Save commonly used names, descriptions and pricing so they're ready for future quotations. You can still modify the details after adding an item to a quotation.

09
QUOTATIONS

Create your first quotation

ScopeBill → Quotations → Add New

Select your client and start adding quotation items.

  • Add quotation items
  • Add descriptions

  • Arrange your quotation items

ScopeBill calculates your quotation totals while you work.

Review and issue your quotation

Before issuing, check:

  • Client information
  • Item descriptions
  • Quantities
  • Pricing
  • Discounts
  • Total amount
  • Business information
  • Terms or additional information

Use the document preview to check how the quotation will appear to your client.

Free plan usage

ScopeBill Free includes 5 Issued Quotations. Draft quotations do not count. Paid plans include Unlimited Issued Quotations.

11
CLIENT REVIEW

Send your quotation

Once issued, your quotation is ready for your client.

Send or share the quotation using the available ScopeBill workflow. Your client can review it without needing access to your WordPress dashboard.

Where the approval workflow is available, your client can Approve or Reject the quotation.

ScopeBill keeps the quotation and its status together so you can easily track what happens after it is sent.

Quotation email not arriving?

Check your WordPress email configuration and confirm that SMTP or your transactional email service is working correctly. See Step 03 — Configure Email Delivery.

12
REVISIONS

Handle quotation revisions

Clients sometimes request changes before accepting a quotation.

Instead of creating disconnected documents, use ScopeBill's quotation workflow to update the quotation as required.

This helps maintain a clearer history of what was proposed while keeping the quotation process organised.

13
INVOICING

Convert a quotation to an invoice

When a quotation is ready to move forward, you don't need to enter the same information again.

Open the relevant quotation and select:

Convert to Invoice

ScopeBill carries the relevant quotation information into the new invoice.

Your new invoice starts as a Draft

Review and edit it freely. Creating the invoice draft does not use your issued invoice allowance.

14
INVOICING

Review and issue your invoice

Before issuing the invoice, review:

  • Client information
  • Invoice items
  • Quantities
  • Pricing
  • Discounts
  • Total amount
  • Payment details
  • Business information

When everything is correct, select Issue Invoice.

DRAFT INVOICE

Continue editing until the invoice is ready.

15
PAYMENTS

Record customer payments

When you receive payment, open the relevant invoice and select:

Record Payment

Enter the payment information. ScopeBill keeps the payment associated with the invoice and updates the remaining balance.

Invoice Total RM 5,000
→
Amount Paid RM 3,000
→
Outstanding RM 2,000

If your customer makes multiple payments, record each payment as it is received where supported.

16
ORGANISATION

Keep your records organised

As you use ScopeBill, your workspace will gradually contain more clients, quotations, invoices and payment records.

Use ScopeBill's search, sorting, status and archive tools to keep everything organised.

Records that are no longer actively needed can be archived where applicable instead of permanently deleting them.

If an archived client returns, reactivate the client and continue using their existing information.
